A homeowner with no heat at 9:40 pm does not leave a voicemail and wait. They call the next company on the list.
If your shop runs on two or three trucks, you cannot staff a phone around the clock. You can still make sure nobody waits.
Set the rule: every lead hears back within a minute
Not a full answer, just a human-sounding reply that says someone has it. “Sorry we missed you. Is this about a repair or a quote?” is enough to keep a homeowner from dialling again.
Text back every missed call
Most CRMs, including GoHighLevel, can send a text the moment a call goes unanswered. Write the message the way your office talks, not like a robot. Short, friendly, one question.
Route web leads the same way
Form fills, Google leads and ad leads should trigger the same instant reply. A lead you paid for is worth the most in its first few minutes.
Missed-call texts you can copy
Change the company name and use whichever fits the hour.
During business hours
Hi, this is Northside Heating. Sorry we missed your call, we’re with another customer. Is this about a repair or a quote? We’ll call you back in a few minutes.
After hours
Hi, this is Northside Heating. Our office is closed for the night. If you have no heat, no cooling or a leak, reply URGENT and our on-call tech will get back to you. Otherwise we’ll call you first thing in the morning.
Weekend
Thanks for calling Northside Heating. We’re off today but checking messages. Tell us what’s going on and we’ll get you on Monday’s schedule, or sooner if it’s an emergency.
Second text, if nobody answers your callback
Tried to call you back about your furnace. Still need help? Reply with a good time and we’ll make it work.
Keep every message under about 300 characters, sign it with the company name, and ask one question. Texts that read like a person get replies. Texts that read like an alert get ignored.
Have a person pick it up
Automation buys you the first minute. A person has to book the job. Decide who owns replies after hours and on weekends, and write it down.
Check it every Monday
Look at last week’s missed calls and new leads. How many got a reply? How many booked? If you can’t answer in five minutes, the system is not working yet.
The goal is simple: no homeowner should wonder whether you got their call.
